Sanctum Nature – Retreat Terms & Participation Guidelines
We warmly invite all participants to arrive with openness, respect one another’s boundaries, honor the forest environment, and help preserve the atmosphere of the space. We believe that a safe and harmonious experience is created through each person’s responsibility, mindfulness, and mutual respect.
The guidelines below are designed to ensure a high-quality, safe, and respectful experience for everyone attending our retreats and events.
- General Provisions
1.1. These Terms & Conditions govern participation in retreats, immersive experiences, educational events, tastings, workshops, and other events organized at Sanctum Nature.
1.2. By purchasing a ticket or otherwise registering for an event, the participant confirms that they have:
- read these Terms & Conditions;
- understood them;
- agreed to comply with them.
1.3. The Organizer reserves the right to update these Terms & Conditions at any time. The latest version will always be available on the website.
1.4. Events take place in a natural forest setting. Participants acknowledge that the experience differs from conventional indoor venues and includes the characteristics of an outdoor environment.
- Participant Responsibility & Health
2.1. Participants are solely responsible for assessing their own physical, emotional, and psychological readiness to attend an event.
2.2. Participants agree to inform the Organizer in advance of any:
- severe allergies;
- food intolerances;
- medical conditions relevant to participation;
- mobility requirements or other special needs.
2.3. Participants understand that some events may include:
- walking on forest trails;
- spending extended time outdoors in varying weather conditions;
- elements of physical activity;
- breathwork, movement, sound, or other somatic practices;
- periods of silence, reflection, or emotional processing.
2.4. Activities provided by the Organizer are intended for personal wellbeing and educational purposes only. They do not constitute medical, psychological, psychiatric, or psychotherapeutic treatment and are not a substitute for professional healthcare.
2.5. Participants are responsible for monitoring their own wellbeing during the event and must immediately notify the Organizer’s team if they experience discomfort or feel unwell.
- Safety in Nature
3.1. Participants acknowledge that the forest environment may include:
- uneven terrain;
- roots, rocks, and slippery surfaces;
- insects, ticks, and other natural elements;
- changing weather conditions.
3.2. Participants agree to:
- wear appropriate clothing and footwear;
- follow all instructions provided by the Organizer;
- act responsibly toward themselves, other participants, and the surrounding environment.
3.3. To the extent permitted by applicable law, the Organizer is not liable for accidents resulting from a participant’s negligence, personal health condition, or failure to follow these Terms or the Organizer’s instructions.
- Food & Allergies
4.1. Food and beverages may be served during events.
4.2. While the Organizer makes reasonable efforts to accommodate dietary requirements communicated in advance, we cannot guarantee an allergen-free environment.
4.3. Participants are responsible for:
- avoiding foods unsuitable for them;
- managing their allergies;
- bringing any required medication or emergency treatment.
4.4. Bringing hazardous substances or any items that could endanger or negatively affect other participants is prohibited.
- Code of Conduct
5.1. Sanctum Nature is committed to creating a respectful, safe, and mindful environment for everyone.
5.2. Participants agree to:
- respect the privacy and personal boundaries of others;
- avoid disrupting the flow of the event;
- refrain from aggressive, discriminatory, or disruptive behaviour;
- observe periods of silence or any event-specific guidelines where applicable.
5.3. The Organizer reserves the right to refuse admission or remove any participant without refund if their behaviour:
- endangers themselves or others;
- disrupts the experience for other participants;
- conflicts with the values or guidelines of the event.
- Alcohol, Psychoactive Substances & Smoking
6.1. Unless explicitly stated otherwise in the event description, participants may not attend events while under the influence of alcohol or psychoactive substances.
6.2. The Organizer reserves the right to deny entry to or remove any participant who appears to be intoxicated or otherwise impaired.
- Photography & Privacy
7.1. Events may be photographed or filmed for the Organizer’s communication and promotional purposes.
7.2. By purchasing a ticket, participants acknowledge that they may appear incidentally in general photographs or video recordings of the event.
7.3. Participants who prefer not to be photographed should notify the Organizer before or at the beginning of the event.
7.4. Participants are encouraged to respect one another’s privacy and not photograph or record others without their consent.
- Tickets, Cancellations & Refunds
8.1. Tickets are valid only for the specific event and date stated.
8.2. If a participant is unable to attend:
- the ticket may be transferred to another person, provided the Organizer is notified in advance.
8.3. The Organizer reserves the right to:
- modify the programme, facilitators, or schedule;
- cancel an event due to insufficient registrations, adverse weather conditions, force majeure, or other circumstances beyond reasonable control.
8.4. If an event is cancelled by the Organizer, participants will receive either:
- a full refund of the ticket price; or
- the option to attend the event on an alternative date.
8.5. The Organizer is not responsible for reimbursing:
- travel expenses;
- accommodation costs (unless expressly included in the event description);
- indirect or consequential losses.
- Limitation of Liability
9.1. To the fullest extent permitted by law, the Organizer is not liable for:
- loss, theft, or damage to participants’ personal belongings;
- injuries or damages resulting from a participant’s own negligence;
- health issues unrelated to the Organizer’s intentional misconduct or gross negligence.
9.2. Participants acknowledge that outdoor and nature-based experiences involve an inherent level of risk.
- Final Provisions
10.1. These Terms & Conditions are governed by the laws of the Republic of Lithuania.
10.2. Any disputes shall first be addressed through good-faith negotiations. If no agreement can be reached, disputes shall be resolved in accordance with the laws of the Republic of Lithuania.
